Agree the acceptance basis before production
Start with the purchase specification, approved drawing and the applicable standard or plant requirement. State the exact revision, product grade, guaranteed limits, test methods and order-specific tolerances that will control acceptance.
Keep catalog values and typical data separate from contractual guarantees. If documents conflict, resolve the order of precedence before material is made rather than negotiating acceptance after shipment.

Define the lot and preserve traceability
A sampling result is meaningful only when the inspected lot is clearly defined. Agree how production batches, grades, shapes and packing units will be separated and identified.
Inspection records, certificates, pallet marks and packing lists should refer to the same product and batch identity. Do not treat a certificate for a similar grade or a different production period as evidence for the supplied lot.

Inspect appearance and dimensions against agreed criteria
Visual inspection can check the supplied bricks for agreed surface defects, cracks, edge damage, contamination, marks and transport damage. Acceptance criteria should distinguish functional defects from minor appearance variation and should be written before inspection.
For dimensions, identify the measuring method, instruments, critical dimensions and tolerance basis. ASTM C134 covers size, dimensional measurements, warpage and squareness for rectangular refractory brick, while GB/T 2992.1-2011 is a current Chinese reference for general refractory-brick dimensions. The contract still decides which method and limits apply to the order.

Build a product-specific sampling and test plan
There is no universal sample quantity for every refractory brick order. Define the lot, sample selection method, sample quantity, test frequency, witness points and retest rule from the applicable standard and purchase contract.
Select tests because they address the contracted grade and service conditions. Chemistry, apparent porosity, bulk density, cold crushing strength, refractoriness under load, permanent linear change and thermal behavior answer different questions; they should not be added as an undifferentiated checklist.

Read certificates and third-party reports correctly
A certificate of analysis or inspection report should identify the manufacturer, product, batch, test method, result and applicable acceptance limit. Confirm whether results are batch-specific, representative, typical or guaranteed.
Third-party inspection can support independent witnessing when its scope is agreed in advance. The buyer should define access, hold points, sampling authority, report format and release responsibility before the order is placed.

Verify packing and shipment readiness
Pre-shipment inspection should connect accepted material to the goods that will be loaded. Check quantities, pallet marks, packing lists, moisture protection and visible handling damage against the approved order.
For projects with many shapes, confirm that package marks and the loading sequence support installation. Photographs can document packing condition, but they do not replace the agreed inspection records.

Use a practical refractory brick acceptance checklist
Before release, confirm that the purchase specification, drawings, lot identity, inspection results and shipping documents describe the same goods. Record any deviation and its disposition in writing.
A useful acceptance plan also states who can approve a concession, when retesting is allowed and what happens to rejected material. This protects both buyer and manufacturer from informal decisions at the loading stage.
